What is a virtual assistant?

A virtual assistant or VA is a team member based offshore who works the hours you work. They help you with planned and reactive tasks, doing work to help you be more effective - whatever that looks like for you.


How can a virtual team member help my business?

That depends on your business and where the gaps are. Many of our clients use their virtual team members to do low-value tasks, freeing them up to do what they enjoy. Some hire a virtual team member for a specific task they're not good at - lead generation, social media, administration, bookkeeping etc. You know your business best, but our advisors can help you on this journey.


What types of services do you offer?

Our VAs can work in generalist roles, most commonly involving admin, marketing, content and social media. They can also be specialised. We work with recruitment businesses, business coaches and consultants, trades people, accountants and loads more.


I'm based in the US, UK, Australia, New Zealand...do you have VAs in my timezone?

Short answer - yes. We work with businesses around the world.

How does payment work?

All payments are debited monthly.


Is there a contract or long-term commitment?

Our contracts are six months and then month-to-month after that.

How do I get started with your virtual assistant services?

First, we have a strategy call, we will make sure that we can service your needs to a good quality then we will get you signed up, locate you a perfect match VA (do all of our quality control), and finally help you get them onboarded. We'll work with you to find the right person - not just in terms of skillset but also attitude and cultural fit.


What is the onboarding process like?

Our account management team will work with you to make sure the onboarding is seamless. Training, ongoing support and even replacement in the event that your VA doesn't work out are all included.


Can I choose my own virtual assistant?

Of course - we'll give you a shortlist and you make the final decision.

What tasks can your virtual assistants handle?

Depending on what role you want your VA to fill, we have a very extensive training and recruit our team based on VERY strict criteria. However, if you have a niche requirement, have a chat with our team - we'll do our best to help and be honest if we can't.


Do your virtual assistants have specific skill sets?

If we're hiring for a specific niche it may take more time because we may not have that skillset on our team right now. However, we know the market intimately and if there's something specific we can't provide, we'll tell you. You can check out our VA options to see which is the best fit for what you need.


Can I choose my own virtual assistant?

Absolutely. We work with diverse industries all the time.


What are the limitations of what a virtual assistant can do?

We treat and pay our team very well. In fact, we're passionate about it. We don't allow them to work more than their agreed amount of hours and we insist they have holidays. Burnout is far to prevalent in the industry and we work hard to avoid it.


  • Availability and Communication

What are the hours of operation for your virtual assistants?

Your call. Choose your package and your team member will be available for that number of hours when it suits you.


How do I communicate with my virtual assistant and assign tasks?

We love Flock and Slack, but our clients will use email, Click up, Whatsapp - whatever suits you! We recommend communicating via some form of messaging app and having a structured zoom meeting each week as a minimum and we're always making sure tasks you're happy with progress.


Can I contact my virtual assistant during weekends or holidays?

No. In the same way you let your team have downtime, you should let your virtual team do the same.


How are the virtual assistants managed and supervised?

Our virtual assistants all report to team leaders who will observe and report on their their time use, performance, and attitude. The Team leaders will be there to support your VA every single day to make sure you're getting the best possible results even when you’re too busy.

What tools do your virtual assistants use?

We train in project management tools, email platforms, social platforms and plenty more.


Do your virtual assistants have experience with specific software?

Absolutely. Reach out to us with your requirements.


How do I track tasks?

We always recommend using the project management software you're already using. ClickUp, Monday and Asana are all great choices. If you're not sure, just ask and we'll point you in the right direction.


  • Scaling and Flexibility

Can I scale the number of hours or tasks as my needs change?

That's the idea. As you grow, you can bring more team members on board.


What is your cancellation policy?

After six months you can cancel whenever you wish. There is a one-month notice period. If you simply want to replace your VA with another you can do this at any time free of charge.
